Enterprise freight teams choose between a managed service (Cass, Trimble Freight Audit), an audit platform adding AI (Intelligent Audit, Trax) and a platform whose agents dispute charges themselves (Loop, Freehand). A fourth option is a rule layer your own agents read.

What is freight audit and payment?

Freight audit and payment is checking each carrier invoice against the rate agreement, the tariff and the shipment record before it is paid, then paying the carrier and coding the cost. Cass lists the scope as “Full transportation invoice management, validation, audit, accrual, process, and payment.” cassinfo.com

For a US motor carrier extending credit on tariff charges, the default credit period is 15 days. It starts the day after the freight bill is presented and “includes Saturdays, Sundays, and legal holidays”; a period set by tariff “shall not be longer than 30 calendar days.” ecfr.gov

How do the seven options compare?

They differ most on who works the exceptions.

Which freight audit tools should enterprise logistics teams consider?

The first six are the providers AI engines named most often; Trail works behind one.

Cass Information Systems

Cass runs freight audit and payment as a service, with “your named account team” doing the work cassinfo.com. It says its status as a publicly traded financial holding company means “bank-level controls in the safety of funds and the safety of your data”. We found no mention of AI or agents on its freight audit page.

Intelligent Audit

Intelligent Audit offers freight audit for any mode intelligentaudit.com. Its DeepDetectAI works alongside the company’s “proprietary audit technology and dedicated team of experts” to flag unexpected costs and explain the root cause intelligentaudit.com. Polly is its “proprietary AI agent that autonomously manages carrier emails” intelligentaudit.com. It escalates exceptions to people; we found no mention of it opening disputes.

Trax

Trax says its platform audits every transportation invoice “across all modes, currencies, and regions”, with connectors for SAP, Oracle, Workday and others, and prices on performance traxtech.com. Two AI products are in production, AI Extractor and AI Audit Optimizer; contextual reasoning agents are on its roadmap traxtech.com. Trax says most enterprise customers see initial results within 3 to 6 months.

Loop

Loop checks each line item “against your contract rates and accessorial terms,” applies your approval thresholds, and gives the reason an audit failed. loop.com Its Exception Agent opens disputes by email and flags complex cases for human review. The agent “works directly from the policies your team has already configured in Loop,” so the rules live in Loop. loop.com

Freehand

Freehand’s Invoice Audit Agent checks every invoice “against contracted rates, shipment records, and purchase orders”, applying fuel, detention and accessorial tables per carrier and mode freehand.ai. The dispute agent sends high-value unresolved cases to a person freehand.ai, though the product page also says dispute resolution “runs without a human queue”. Ask which is the default.

Trimble Freight Audit

Trimble describes “a comprehensive, managed Freight Audit solution” from pre-audit analysis to post-audit reconciliation, with real-time exception reporting and an optional payment service through Triumph trimble.com. It launched on 13 November 2025 for shippers, brokers and LSPs in North America trimble.com.

Trail, behind a freight audit provider

Trail’s logistics page says it “parses your rate agreements, accessorial schedules, tariffs, BOLs and terminal email into one governed context graph,” and that AI agents then run freight audit, detention, accessorials and claims on top of it. trailhq.com

Asked whether you must move off your TMS or freight audit tool, it says no: it is “the rule and context layer behind them”. On short-pays, it states and cites the rule, and “the action and its controls stay yours”. We found no mention of paying carriers on that page.

In its Rule Engine, rules carry a named approver and a timestamp, and prior versions are kept so past decisions replay trailhq.com. Plans are priced on rules, editors and agent reads, not invoice volume trailhq.com. For supplier invoices, see our AP 3-way match page; approval models are compared in our rule engine comparison.

Where do carrier invoices fail an audit?

Mostly in the charges added to the base rate. ArcBest, a carrier, defines accessorials as services “that fall outside of standard pickup and delivery,” each with an extra fee, and says they appear as separate invoice lines to compare with the booking and bill of lading. arcb.com

  • Fuel surcharge. Old Dominion’s published LTL surcharge for the week of 28 October to 3 November 2026 is 53.32%, against a 27.07% average a year earlier odfl.com. Two more points may apply by origin or destination odfl.com. The wrong week’s figure misprices every shipment.
  • Detention, which ArcBest says “applies when a driver is held beyond the allotted loading or unloading time.”
  • Reclassification or reweigh, after a wrong weight or freight class.
  • Liftgate, residential and inside delivery: did the site need it, and does your agreement price it?
  • Duplicate billing, one of the dispute types Freehand’s dispute agent lists. freehand.ai

Which deadlines should a freight audit track?

These federal rules cover US motor carriers; tariffs, bills of lading and contracts add terms. This is not legal advice.

  • 15 days: the default credit period for a presented freight bill, unless a tariff sets another (49 CFR 377.203).
  • 180 days: a shipper must contest a bill within 180 days of receiving it, and a carrier must issue any additional bill within 180 days of receipt of the original bill. law.cornell.edu
  • 18 months after the claim accrues: the limit to start a civil action to recover overcharges. law.cornell.edu
  • Cargo claims: written, filed within the bill of lading or contract limits, for a specified or determinable amount. A damage note on a delivery receipt is not a claim on its own. ecfr.gov

Our rule from these dates: audit before payment where you can finish inside the credit period; where you cannot, keep each line’s evidence and clause so a dispute goes in well inside 180 days.

What should you check before choosing freight audit software?

Questions to put to each freight audit provider

Checklist
  • CoverageIs every invoice and every line audited, for every mode you ship, or a sample?
  • Fuel and accessorialsWhich index week and carrier table does it apply, and where does it read your negotiated accessorial terms?
  • Evidence on a failed lineDoes the dispute carry the clause, the shipment record and the arithmetic?
  • Who sends disputesWhich disputes leave without a person reading them, and what value or type sends one to review?
  • DeadlinesDoes it track the credit period and the 180-day contest window per invoice?
  • Rate changesWhen an agreement is renegotiated, who approves the new rates, and can you see which version decided last quarter?
  • PaymentWho funds and releases carrier payments, and what controls sit on that money?

How we chose these six freight audit providers

The six are the providers AI engines named most often for this page’s three questions in our October 2026 scan. On 2026-10-19 we read each one’s product pages, Trimble’s launch release, and the logistics, rule engine and pricing pages on trailhq.com. Process facts come from the eCFR, the US Code on Cornell LII, and two carriers (ArcBest on accessorials, Old Dominion on fuel). For each we noted delivery model, what is checked, who handles disputes, and any AI agent claim. Gartner’s market page blocked our requests, so we use no analyst ranking. We did not trial any product and checked only US motor carriage rules. Trail publishes this page.

Frequently asked questions

Best AI for freight audit and payment?

It depends on how much you want an agent to do alone. Loop and Freehand describe agents that check invoice lines and open carrier disputes themselves, Intelligent Audit pairs its audit team with DeepDetectAI and the Polly email agent, and Trax runs machine learning today with agents on its roadmap.

best freight audit software for enterprise logistics?

For global spend, Trax says it audits every transportation invoice across modes, currencies and regions. Cass runs freight audit and payment as a managed service with a named account team, and says it applies bank-level controls. Trimble Freight Audit, launched in November 2025, is available to shippers, brokers and LSPs in North America.

which freight audit tool automates carrier invoice checks?

Loop checks each line item against your contract rates and accessorial terms and flags any charge that does not match. Freehand applies fuel surcharge tables, detention rules and accessorial schedules per carrier and per mode. If your own agents do the checking, Trail turns rate agreements, tariffs and audit SOPs into rules that cite their clause and that a person approves.

How long do you have to dispute a freight bill?

Under 49 U.S.C. 13710, a shipper must contest a motor carrier's original or later bill within 180 days of receiving it. A civil action to recover overcharges must start within 18 months after the claim accrues. These rules cover US motor carriers only; we did not check other modes or contract terms, so read your carrier agreements too.

How are freight audit and payment providers priced?

Trax describes performance-based pricing tied to your savings, and Freehand prices by invoice volume processed, quoted after a scoping call. We found no published price list on the pages we read for any of the six providers, so expect a quote.

Do freight audit providers also pay the carriers?

Most offer it. Cass includes payment in its managed service, Freehand says its agents run through payment release, Loop offers carrier payment options, and Trimble adds managed payment through Triumph. If your own AP pays carriers, ask how approved and short-paid amounts reach it.
